PrintShop Mail Web software

PrintShop Mail Web is a full-featured Web-to-print system that allows real-time, 24x7 on-line modification, ordering, and production of static documents and customized documents; and it also functions as a multi-user LAN printing system for customized documents.

It can be used by your own employees, it can be used by your customers, or both.

PrintShop Mail Web is part of the PrintShop Mail Suite
of variable-data-printing software.

You can set up multiple Web portals within the PrintShop Mail Web system, and each portal can have different branding (a different look and feel). For example, if your company is a printing company, and if some of your customers are banks, you could set up a Web portal for your own company (it would have your company's logo, colors, phone number, etc.), and you could also set up a different Web portal for each bank (with the bank's logo, colors, phone number, etc.). Each bank's employees could use that particular bank's portal to order business cards, letterhead, envelopes, etc. on line. There is no extra charge for setting up multiple Web portals.

PrintShop Mail Web is a self-hosted system. This means you install and run PrintShop Mail Web on your own server. PrintShop Mail Web is one of the most affordable self-hosted Web-to-print systems available.

The designer's perspective

The designer uses the PrintShop Mail Design software to create document templates for use with the PrintShop Mail Web system. (The PrintShop Mail Design software is included with the PrintShop Mail Mail Web system.)

Creating a template entails defining data sources and defining formatting and business logic for the variable text and variable graphics that will be used on the template. This is an easy process with PrintShop Mail Design's drag-and-drop interface.

Once a template is finished, the designer uses PrintShop Mail Design to "publish it" to the PrintShop Mail Web system. The designer can then use PrintShop Mail Web to test the template. Once the designer has confirmed the template is working properly, the designer uses PrintShop Mail Web's administrative interface to makes the template available to PrintShop Mail Web users.

The integrator's perspective

PrintShop Mail Web can operate as a stand-alone, self-contained system. However, built into PrintShop Mail Web are integration features that allow a programmer to integrate PrintShop Mail Web with other processes, if needed.

A typical integration requirement is communication of order information from PrintShop Mail Web to an order-management system.

Another typical integration requirement is an underwater log-in system, which allows a program or Web site to provide a username and password to PrintShop Mail Web. In a scenario where a company running PrintShop Mail Web has a Web site or another system that requires a user to log in, this eliminates the need for a user to log in twice.

Things to consider when choosing a Web-to-print system

There is a dizzying array of Web-to-print systems available today! Choosing the right one for your particular situation can be a daunting task.

You will need to make a lot of decisions. For example:
  • Do you want to run the software on your own server, or, conversely, do you want to subscribe to a Web-to-print service that is hosted by another company?

  • Will you be designing and creating the documents yourself, or will you need to hire someone to do it?

  • Will you be printing the documents yourself, or will you need to hire someone to do it, or do you want the users of the system to be able to print their own documents?

  • Will your documents be static, versioned, variable, or all three?

  • If your documents will be variable, where will the variable input come from?

  • Do you want customers to be able to modify the formatting of the documents?

  • Do you need a system with digital-asset-management capabilities for dealing with libraries of graphics?

  • Do you need an order-management system so you and/or your customers can view order status, order history, etc.?

  • Do you need to set things up so customers can pay for their orders with credit cards and debit cards?

  • Last, but certainly not least: how much can you expect to pay?
